Human Resources Assistant (Oakdale) - Full Time

Job Description

This position is accountable for a variety of administrative duties in support of the Human Resources Department.  As the primary receptionist for the Human Resources Department the HR Assistant provides the first contact service to OVHD employees and their families, employment candidates, and other guests.  
 
This position is accountable for processing employment applications, pre-employment requirements, new hires, terminations, traveler and registry personnel, Auxiliary members, students and volunteers.
 
Responsible for all active and terminated personnel records for the Human Resources Department.  Also responsible for tracking data and entry as it pertains to applicants, new hires, terminations, and current employees, employee status changes and personal information.
 

A.   Reception/Office
 
Accountable for acting as the primary receptionist for the Human Resources Department.  Answers telephone calls in a courteous and professional manner consistent with department standards on guest relations and telephone courtesy; assists callers as much as possible and forwards calls to the appropriate member of the department.  Greets visitors to the department in a courteous and professional manner consistent with department standards.  Assists visitors by acting as primary information source, answering questions and providing general information and/or assistance.  Refers visitors to the appropriate member of the department as required.  Initiates action for urgent messages.
 
Greets applicants, explains recruitment process (phone and in person), accepts and reviews applications for completeness, answers questions regarding Oak Valley Hospital District (OVHD) and Oakdale Nursing and Rehabilitation Center (ONRC).
 
Delivers friendly, high-quality service to internal customers (HR Dept., Co-workers, Employees and Applicants).
 
Ensures that the front office and lobby area of the HR Department are neat, clean and free of safety hazards and well stocked with forms.
 Regularly checks the department’s inventory of office supplies and orders additional supplies as needed.  Communicates with other members of the department regarding special supply needs and completes supply orders.  Maintains supply stock in a neat and orderly manner.
 
Accountable for mail and fax pick-up and delivery.  Collects outgoing mail and deliver to the mailroom and Payroll Department on a regular basis.  Receives incoming mail from the mailroom, sort’s mail, date stamps and distreriodically checks the fax machine for incoming faxes and distributes.  Ensures high priority faxes are brought to the attention of the recipient.

Prepare Monthly EDD new hire report and fax to agency.
 
Complete EDD, Benefit Audit forms
 
Completes lien and garnishment request.
 
Process verification of employment request.
 
Processes HR related invoices.
 
Issues badges to OVHD personnel and its affiliates and maintain database.
 
Files all documents in employee personnel files accurately and timely.
 
Maintains special discount coupons for employees and their families, i.e., theme parks
 
Assist with HR activities including recruiting, ROP, Auxiliary orientation, job fairs and health fairs.
 
Assists in interpreting company policies, benefits and processes to managers, employees and/or family members.
 
Assists the Vice President of Human Resources in making the arrangements for special events and/or programs designed to recognize employees and their contributions to OVHD.
 
Assist employees on general payroll related issues.
 

 

 

Job Requirements

Minimum Education:
High school graduate or equivalent required
 
Minimum Experience/Skills:
Three (3) to five (5) years experience in a Personnel/Human Resources Department preferred
Must be detailed and customer service oriented, able to manage multiple tasks, be an effective team member and demonstrate core values.
Microsoft applications, and high level of Excel preferred
Must demonstrate excellent written/verbal interpersonal communication and problem solving skills
Ability to read, writes, and communicates in English
Minimum typing 55 wpm
Able to perform basic mathematical calculations
